Items to do on/Before First Day

Work Shirts/Employee Gear (SUA Employees Only)

Pick up your work shirts from the SUA Administration Office, Room 500 Coffman Union.

Monday - Friday, 8 AM-4:30 PM

I-9 Document Information

The Employment Eligibility Verification Form I-9 is an U.S. Citizenship and Immigration Services form. It is used to verify an employee's identity and to establish that the worker is eligible to accept employment in the United States.  Failure to complete the I-9 document will delay the hiring process and may impact your employment. 

The University of Minnesota requires employees to complete the I-9 form on or before the first day of work for pay. 

Steps to Complete I-9 Form

STEP 1: 

Go to http://www.newi9.com to begin the I-9 Verification online form process.

  • Employer Code: Enter 13636 (fill in any required fields).
  • Location: Select STUDENT AFFAIRS.  *VERY IMPORTANT*  This is the only way HR Staff will be able to see your form! Selecting the wrong location, will require you to re-do the form. 
  • Start Date: Check hire letter for date or ask your supervisor.

  • No U.S. Social Security Number?

STEP 2:

After completing section 1 of the online I-9 form, you MUST set up an appointment with our HR staff. Please visit our I-9 appointment calendar and select the time and date that works best for you. 

Appointments are done at the SUA Administrative Office located on the 5th floor of Coffman Memorial Union. 

(Please note that there are additional available time slots in future weeks in case there are no appointments that fit within your schedule for the current week).

Foreign National: 

Sign up for TWO (2) - 30 minute appointment slots. 
For your appointment you need to bring the following documents:

  • Valid, unexpired passport
  • Most current Form I-94 (Arrival/Departure Record)
  • Form I-20 (Certificate of Eligibility for Nonimmigrant Student Status)  OR DS-2019 (Certificate of Eligibility for Exchange Visitor [J-1] Status) stamped by Immigration and issued for University of Minnesota 

Note: Students on a F-1 and J-1 visa: On-campus employment is limited to a total of 20 hours per week while school is in session including finals week and up to full-time during semester breaks and the summer vacation period.

U.S. National: 

For that appointment you need to bring original valid documentation.  Usually, the following items are brought in:

  • Original Birth Certificate AND State/Government Issued Picture I.D  (Please note: U Card will be accepted as Picture ID)
  • Social Security Card AND State/Government Issued Picture I.D.  (Please note: U Card will be accepted as Picture ID)
  • U.S. Passport  (Non-Expired)

Complete Training

Update U.S. Home Address & Emergency Contact in MyU

Log in, myu.umn.edu, and under the "My Info" tab: Update emergency contact information and the  U.S. Home address.  Please follow conventional U.S mailing address formatting, https://faq.usps.com/s/article/What-are-some-Examples-of-How-to-Format-Different-Types-of-Addresses

Information Security Awareness Training

This required Information Security Awareness Training, online course can be found in the Training Hub. It is administered by University Information Security and is section ISA101. It's likely that you will come in contact with private data in your work, it's important that you complete this training. Check with your supervisor if you have questions about this training requirement.

Gopher Equity Training 

This required* diversity, equity and inclusion educational module guides you through concepts about equity, power, privilege, oppression, and identity and is important to creating a foundation of equity and inclusion on the U campus. The Gopher Equity Project compromise of a training module, discussion groups and resources for further development.  (*Required for SUA student employees)

To access the training go to gopherequityproject.umn.edu/take-the-training. The module will take approximately 60 minutes to complete. Contact [email protected] if you do not have access to the online module.

Preventing Sexual Misconduct, Discrimination, and Retaliation 

This required educational module for employees provides information on preventing and responding to sexual misconduct, retaliation, and discrimination based on race, national origin, disability, gender identity and expression, religion and other protected characteristics. The educational module is a key component of the President's Initiative to Prevent Sexual Misconduct (PIPSM), and is one of many important steps that the University is taking to create an equitable and inclusive culture and climate where all can thrive. 

  • A step-by-step guide is available to aid you in navigating the course once the training has been assigned to you in Training Hub. 
  • For general information about the PIPSM initiative, see the FAQ on the Safe Campus website.

Orientation

  • Student Unions & Activities (SUA) employees will be assigned a Canvas orientation course within 1-2 weeks of starting their job along with a scheduled in-person session.  Orientation is MANDATORY and is paid time. 

  • All other departments will provide their own training and orientation. Check with your supervisor for details regarding job duties and expectations.

Complete Forms

All student employees are required to sign the University of Minnesota's Office of Student Affairs (OSA) Confidentiality Agreement.  Email form to [email protected]
